Colorectal Administration Support - 6 Months FTC


To be able to work autonomously and using own initiative within the colorectal nursing team cross site at University Hospitals of Leicester.

Your duties will involve keeping the patient filing system up to date, ordering, collecting and returning medical records and preparing discharge and surveillance CT scan result letters. Printing off clinic lists and ensuring all patients notes are ready for the clinic. Ordering stationery, books and PPE and making up surveillance and new patient packs. Organise the departmental post, deliver paperwork to other hospital departments and when necessary collect booklets/leaflets/printing as required. Monitoring the department answer phone, allocating messages to the appropriate nursing team in a timely manner. Routine administration, eg typing letters and filing.


Colorectal roles and responsibilities:

• General office administration

• Keep patient filing system updated

• Collecting and returning medical records

• Ordering stationary and PPE

• Make up patient packs for clinic

• Organise departmental post

• Print off hospital/address labels


• Type up nurse led clinic letters

• Prep the ‘follow up’ clinic on each site: Access patient reports for colorectal nurses and ensure results are available for clinic

Triage Inbound telephone calls:

• To access the answer phone at the agreed set times through the working day

• Take and document messages clearly

• To liaise with other Departments within UHL/Community health setting when required to and document outcome in phone log

• To filter messages and allocate to the right team member for action

• To direct significant clinical problem/issues or patient distress to appropriate colleague in a prompt and timely manner

Data collection:

• Collect and collate data on behalf of the Colorectal/Stoma service hospital and community for use with KOLs as required

• Occasional: Provide cross site assistance with figure collation

• Occasional: Source data on behalf of the Consultants for audit
